Privacy Policy

Effective Date: 24/07/2025

At Alight Productions, we are committed to protecting the privacy and personal data of everyone who engages with our services — including children, young people, adults, parents, and teachers. This Privacy Policy explains what information we collect, why we collect it, how we use and store it, and what rights you have under the UK General Data Protection Regulation (UK GDPR).

1. What Data We Collect

Depending on how you use our services, we may collect and store the following information:

  • First name and surname (of participant, parent, or purchaser)
  • Age and school year (if relevant to the course)
  • School name (if the course was purchased by or through a school)
  • Creative work submitted (written, visual, or otherwise)
  • Photographs (only with explicit consent)
  • Email address (used for communication and feedback)
  • User type (e.g. parent, teacher, child, or adult learner)

We only collect what we need to deliver our services effectively and safely.

2. Why We Collect This Data

We collect and use personal data to:

  • Deliver our creative writing courses and feedback services
  • Communicate with course participants and their parents/guardians/teachers where appropriate
  • Respond to enquiries and manage enrolments
  • Assess and celebrate submitted creative work (with consent)
  • Improve and develop our educational and creative services
  • Ensure safeguarding and meet legal responsibilities

3. Legal Basis for Processing

We process personal data under the following legal bases:

  • Consent – when we ask permission to share submitted work or photographs publicly
  • Legitimate Interests – to deliver our services, manage communication, and ensure high-quality user support
  • Legal Obligation – where required for safeguarding, child protection, or data protection compliance

We will always request explicit consent before using personal data for marketing, social media, or showcasing work.

4. How Long We Keep Your Data

We retain personal data for up to two years after your last interaction with our services, unless:

  • You ask us to delete it sooner
  • We are legally required to retain it longer (e.g. for safeguarding or compliance)

After this period, your data will be securely deleted or anonymised.

5. Who Can Access Your Data

Access to personal data is strictly limited to the two co-directors of Alight Productions. Both are DBS checked and trained in handling data securely and ethically.

We never share personal data with third parties unless:

  • You have given explicit consent, or
  • We are required to by law or safeguarding duties

6. How We Store and Protect Your Data

We use secure systems to protect all personal data collected through our website, online courses, and communications. This includes:

  • Secure cloud-based storage (Google Drive), accessible only via our company email system
  • Password-protected and regularly updated login credentials
  • Access controls limiting data visibility to authorised team members only
  • Regular reviews to ensure accuracy and data minimisation
  • Secure deletion protocols once data is no longer required

All data shared via our online course portal is transmitted over encrypted HTTPS connections, and our platform is configured to meet current standards for data security and privacy.

We are committed to protecting your information and maintaining compliance with UK GDPR and industry best practices.

7. Your Rights Under UK GDPR

Whether you’re an adult participant, parent, teacher, or young person, you have the right to:

  • Request a copy of the personal data we hold about you or your child
  • Ask us to correct any inaccurate or outdated information
  • Request the deletion of your data (“right to be forgotten”)
  • Withdraw your consent at any time (e.g. for sharing work or images online)
  • Restrict or object to our processing of your data in certain circumstances
  • Lodge a complaint with the Information Commissioner’s Office (ICO) if you believe your data is being mishandled

Withdrawal of Consent for Public Posts

If you have previously given consent for us to share an image or creative work on social media or our website, and later withdraw that consent, we will either:

  • Remove the post entirely, or
  • Anonymise it by removing any identifying information (e.g. the participant’s name or school), depending on your preference and the context.
